PandaBuy Spreadsheet Template: A Haul Sheet That Adds Up Yuan, Fees and Shipping for You

Checked · the PandaBuy Alternatives desk

Short answer

Download the free haul template: pandabuy-haul-template.csv (or the Excel version). It opens in Excel, Google Sheets, Numbers or LibreOffice with 19 columns and formulas already in 50 rows. You type the yuan price, quantity, seller's shipping, your agent's fees and the item weight; it works out the item cost in dollars, the item's share of the international freight, and a landed total before duty. There's a column for the old PandaBuy link next to the clean marketplace link, so you can move an old sheet across without losing track.

8 finds to try the template on

Under-$45 Weidian listings, a good size for a first test haul. Each tile opens repbuysheet.com, with the price and size options to fill in. If the colour you want isn't in this grid, the source catalog has 10,000+ products to search.

Sponsored links. Photo, name and button all open one listing on repbuysheet.com, where the seller's full photo set, the size options and the source shop link live. Dollar and yuan prices are copied from that catalog on the check date and move with the exchange rate.

What's in the template, column by column

Each row is one line of your haul. The white columns are for you to fill in; the formula columns calculate themselves:

What each column of the template does
ColumnYou enterWhat it's for
A–EItem, marketplace link, old PandaBuy link, category, sizeKeep the original link: it survives agent closures
F–HPrice in CNY, quantity, seller's shipping in ChinaStraight from the listing and the agent's cart
I–KAgent fee %, payment fee %, CNY per USDYour agent's actual rate, not Google's
LformulaItem cost in USD, fees included
M–NWeight per unit in grams → line weightFrom the warehouse's weighing, or an estimate
O–PFreight per kg → this item's share of itSpreads the parcel cost by weight
QformulaLanded cost before duty, per line
Bottom rowformulasTotals for cost, weight, freight and landed

Column letters as in the downloaded file. Percentages are typed as decimals in the CSV (0.03 = 3%); the .xlsx shows them as percentages.

Verdict: Fill in F, G, H and M per item; set I, J, K and O once per agent and copy them down.

A worked example from the file

The file comes with two example rows so you can see the formulas working. Here's what they produce, computed the same way on this page:

The template's example rows, worked out
RowYuan inItem costLine weightFreight shareLanded
Hoodie ×1¥189 + ¥8 shipping$31.96820 g$7.63$39.59
Tees ×3¥45 each + ¥6$22.88630 g$5.87$28.75
Total1450 g$68.34

Exchange rate 6.348 CNY per USD (the rate implied by the catalog's own prices); payment fee 3%; freight $9.31/kg, which is Sugargoo's published 3 kg UK quote of $27.94 divided by 3.

Notice how the hoodie, at four times the weight of a tee, picks up most of the freight. That's the template's main use: it shows which items are cheap only on the listing. Change O to your own line's price per kilo once the agent quotes it, and the freight share of every row updates.

Verdict: A hoodie's shipping can be about a fifth of its landed cost. The sheet makes that visible before you order.

Moving an old PandaBuy sheet into the template

If you're starting from an old PandaBuy spreadsheet, the template's column C is where those links go. A sensible order of work:

  1. Paste the old PandaBuy links into column C.
  2. Run them through the link converter and paste the clean results into column B.
  3. Delete rows whose listing no longer exists, then fill in prices from your new agent's cart.
  4. Once items reach the warehouse, replace estimated weights in column M with the weights the agent reports.

Google Sheets users: upload the CSV with File → Import and choose 'Replace current sheet'; the formulas import with it. For a bigger list of finds to start from, the catalog table downloads as a CSV with item IDs, and the shipping estimator works out the freight-per-kilo figure for column O.

Verdict: Column B is the one that matters long-term. Agent links change; marketplace links don't.

Haul template questions

Is there a PandaBuy spreadsheet template?

Yes, a free one on this page: pandabuy-haul-template.csv plus an Excel copy, with 19 columns and formulas in 50 rows. You type yuan prices, fees and weights; it returns each item's cost in dollars, its freight share and a landed total before duty. It suits any agent, not only PandaBuy, which closed in 2024. Download it and try it on your next haul.

Does the template work in Google Sheets?

Yes. In Google Sheets choose File → Import, upload the CSV and pick 'Replace current sheet'; the formulas come across and calculate straight away. Excel, Numbers and LibreOffice open it too, and the .xlsx version shows fee columns as percentages instead of decimals such as 0.03. Use the CSV route for Google Sheets and the .xlsx file for Excel to keep formatting tidy.

How is shipping split between items?

By weight. Each row's line weight in column N is divided by 1,000 and multiplied by your freight price per kilo from column O, giving that item's share in column P. In the example rows, the hoodie weighs about four times as much as a tee and picks up most of the freight. Swap in real warehouse weights once you have them so the split stays accurate.

Why does the template ask for my agent's exchange rate?

Agents convert yuan at their own rate, often a few percent above the bank rate. The example rows use 6.348 CNY per USD, the rate implied by the catalog's prices, but your agent's figure may differ. Type it into column K once and copy it down the sheet. Using the agent's actual rate rather than Google's makes the dollar totals match what you'll be charged.

Does it include import duty?

No. Column Q gives the landed cost before duty, built from item cost, fees and the freight share; the two example rows come to $68.34 on that basis. Duty and VAT depend on your country and shipping line, so the template leaves them out. Run the import duty calculator for your country and add its figure to the bottom-row total yourself.

Can I keep my old PandaBuy links in it?

Yes, column C exists for exactly that, next to the clean marketplace link in column B. Paste the old links into C, run them through the link converter and put the results in B. Delete rows whose listing has gone, then fill in prices from your new agent's cart. Over time, trust column B: marketplace addresses keep working when agents shut down.

Put together by the PandaBuy Alternatives desk; every claim was checked against the list below on . The PandaBuy history leans on court records, police-side reporting and Wikipedia; agent fees, storage and review counts come from each agent's own pages or the named trackers. Where sources disagree we print both. A finds tile was only published if its main photo and its link showed the same item.
